Privacy Policy

This Privacy Policy describes how Steadwell, Inc. (“Steadwell,” “we,” “us,” or “our”) collects, uses, and discloses personal information, and the choices and rights you have with respect to that information.

1. Scope of this policy

This Privacy Policy applies to personal information Steadwell collects through steadwell.estate and related websites (the “Websites”), and through your interactions with us, such as sales inquiries and customer support.

A separate agreement with each firm that subscribes to Steadwell’s platform (the “Services”) governs our processing of the property records, visit notes, photos, and other data that firm and its owners submit to the Services (“Customer Content”). This Privacy Policy describes our practices as a controller of information described below; it does not limit or expand the terms of that separate agreement.

2. Information we collect

Information you or a firm provide to us

  • Account data. When a firm subscribes to the Services, or a firm or owner creates an account, we collect information such as name, email address, phone number, password, company or property details, and billing information.
  • Customer Content. Professionals using the Services create property and asset records, visit notes, to-dos, and photos, and may generate voice notes that Steadwell transcribes into text entries. See Section 5, AI and voice processing.
  • Support and communications. When you contact us for support or otherwise communicate with us, we collect the contents of that communication and related contact information.

Information we collect automatically

  • Usage data. We collect data about how the Websites and Services are used, such as pages visited, features used, and timestamps.
  • Log and device data. Our servers automatically log information such as IP address, browser type, operating system, and device identifiers when you use the Websites or Services.
  • Approximate location. We may infer an approximate location (such as city or region) from an IP address or a business address on file.

Information we collect from other sources

  • Other Data. Steadwell collects personal information from affiliates and subsidiaries as well as third-party sources. For example:
    • Affiliates and Subsidiaries. Steadwell may receive personal information from affiliated entities and subsidiaries, such as for internal business operations or analytics purposes.
    • Business Partners and Service Providers. Steadwell may receive personal information from partners, advertising networks, analytics providers, event organizers, resellers, and data enrichment vendors who help us identify potential business leads or understand our existing customer base.
    • Public and Commercial Databases. Steadwell may collect information from publicly available sources or commercial databases, including professional social networks or company websites, to update and supplement our existing records.
  • Additional information provided to Steadwell. Steadwell receives Other Information when submitted to our Websites or in other ways, such as if you participate in a focus group, contest, activity or event, apply for a job, enroll in an educational program hosted by Steadwell or a vendor, request support, interact with our social media accounts or otherwise communicate with Steadwell.

Signing in with Google

You can sign in to the Services with your Google account instead of a password. When you choose “Continue with Google,” Google shares the following with Steadwell, and only after you approve it on Google’s consent screen:

  • Your name.
  • Your email address, and whether Google has verified it.
  • Your profile picture, if you have one.
  • A unique Google account identifier, which links your Google account to your Steadwell account.

We use this information only to create your Steadwell account, sign you in, and show your name and picture to the people you work with in the Services. We store it with your other account data, keep it for as long as described in Section 7, and share it only with the service providers described in Section 6 that host the Services. We do not sell it, use it for advertising, or use it to train AI models. We do not request access to your Gmail, Google Drive, Google Calendar, contacts, or any other Google account data.

Steadwell’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can disconnect Steadwell from your Google account at any time at myaccount.google.com/connections. This stops future Google sign-ins but does not delete your Steadwell account; to delete your account data, see Section 10.

We do not use third-party advertising cookies, analytics-for-advertising pixels, or similar cross-site tracking technologies on the Websites.

3. How we use information

We use personal information to:

  • Provide, maintain, and support the Services and Websites, including authenticating accounts and producing reports for owners.
  • Process billing and manage accounts.
  • Respond to support requests and other communications.
  • Develop and improve the Services, including the AI processing described in Section 5.
  • Send administrative communications about the Services, and, where you’ve opted in, product updates or marketing communications.
  • Detect, investigate, and prevent security incidents, fraud, and abuse.
  • Comply with applicable law, legal process, and enforceable governmental requests.

4. Firms, owners, and shared data

Steadwell’s Services are used by professional firms who service properties on behalf of owners. Data within the Services is isolated by firm: one firm cannot see another firm’s records or the properties it services.

Within a firm’s account, an owner generally sees the outcomes of a visit, such as status updates, costs, and completed work, while a professional’s underlying working notes and methods remain visible only within the servicing firm unless that firm chooses to share them. The firm that owns the account controls what is shared with the owners it services, consistent with the agreement between Steadwell and that firm.

5. AI and voice processing

Professionals using the Services can speak notes aloud while working. Steadwell uses speech-to-text processing to transcribe that audio into a written entry, and AI to organize quick, informal speech into a structured note.

  • The raw audio recording is used only to generate the transcript and is deleted once transcription is complete; it is not retained afterward.
  • The resulting text entry becomes part of the property’s record, subject to the retention terms in Section 7.
  • We do not use Customer Content, including voice recordings, transcripts, notes, or photos, to train AI models, whether Steadwell’s own models or a third-party AI vendor’s models.

6. Sharing and service providers

We share personal information with:

  • Service providers. Vendors that host, process, or support the Services and Websites on our behalf, such as cloud infrastructure and payment processing providers, bound by confidentiality and data-protection obligations appropriate to the services they provide. Our current list of subprocessors is available at trust.steadwell.estate/subprocessors.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.
  • Legal and safety. When required to comply with applicable law or legal process, or to protect the rights, property, or safety of Steadwell, our customers, or others.
  • With your consent. When you’ve directed us to share information, such as at your request.

We do not sell personal information, and we do not share personal information with third parties for cross-context behavioral advertising.

7. Data retention and export

We retain account data for as long as an account is active and as needed to provide the Services, and afterward for as long as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

Property and asset records, visit notes, and photos are kept as a permanent history of work performed on a property, which is a core part of the Services, and are not deleted solely because an individual professional’s or owner’s access ends. A firm can export its data from the Services at any time.

8. Security

We use administrative, technical, and organizational measures designed to protect personal information from loss, misuse, and unauthorized access or disclosure, appropriate to the sensitivity of the information involved. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Age limitations

The Services are intended for business use by adults and are not directed to individuals under 18. We do not knowingly collect personal information from anyone under 18. If we learn that we have done so, we will take steps to delete that information.

10. Your rights and how to exercise them

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete personal information.
  • Request deletion of your personal information.
  • Receive a copy of your personal information in a portable format.

To exercise these rights, contact us at privacy@steadwell.estate. If your personal information is part of Customer Content held on behalf of a firm, we may direct your request to that firm, who controls that data.

11. California privacy rights

This section provides additional information for California residents under the California Consumer Privacy Act, as amended (“CCPA”).

In the preceding 12 months, we have collected the following categories of personal information:

We collect this information for the business purposes described in Section 3 and disclose it only to the service providers and other parties described in Section 6. We do not sell or share (as defined by the CCPA) personal information, so no opt-out mechanism is required.

California residents may exercise the rights described in Section 10, including the right to know, delete, and correct personal information, and the right not to be discriminated against for exercising these rights, by contacting us at privacy@steadwell.estate. We will verify your request using information associated with your account before responding.

12. Changes to this policy

We may update this Privacy Policy from time to time. We’ll post any changes on this page and update the effective date above. If a change is material, we’ll provide additional notice, such as by email to account administrators.
